1. Who We Are

Monolith Ai LLC, a Maryland limited liability company doing business as “Monolith Concierge” (“Monolith”, “we”), operates the website at monolithai.net, the Aria AI chat assistant, and the Aria AI voice receptionist. This Privacy Policy explains what information we collect, how we use it, and your choices.

2. Information We Collect

We collect the following categories of information:

• Contact & directory data you provide voluntarily: name, email, phone number, business name, service interest.
• Conversation content: messages you send to Aria via chat and transcripts/recordings of voice calls placed to our published numbers.
• Technical data: IP address, browser type, device identifiers, pages visited, and similar log data automatically collected by our hosting and analytics providers.
• Cookies & local storage: small files used to maintain session state and basic site preferences.

We do not knowingly collect Protected Health Information (PHI). Aria is configured to refer clinical questions back to your provider. Please do not submit PHI, payment card numbers, or government identifiers through our chat or voice channels.

3. How We Use Information

• To operate Aria and respond to inquiries.
• To schedule consultations, send confirmations, and follow up on leads with your consent.
• To improve the quality, accuracy, and safety of the Services.
• To detect, prevent, and respond to fraud, abuse, or security incidents.
• To comply with legal obligations.

4. SMS / Text Messaging

If you provide your mobile phone number and opt in to receive text messages from us (for example, appointment confirmations and reminders), the following applies:

• No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with, or sold to, any third parties.
• Message frequency varies based on your interactions with us (e.g., booking confirmations and appointment reminders).
• Message and data rates may apply.
• You can opt out at any time by replying STOP. For assistance, reply HELP or email nkc@monolithai.net.
• Consent to receive text messages is not a condition of purchasing any goods or services.

5. Service Providers (Sub-processors)

We use the following vendors to operate the Services. Each is bound by contractual data-protection terms:

• Microsoft Azure — cloud infrastructure, storage, encryption.
• Supabase — managed Postgres database for lead records and conversation logs.
• OpenAI — large-language-model inference for Aria’s chat responses.
• Vapi — voice telephony and AI voice orchestration.
• Resend — transactional email delivery.
• Replit — application hosting and deployment platform.

6. Data Retention

We retain conversation logs and lead records for as long as needed to provide the Services and meet legal, accounting, or operational requirements — typically 24 months from last activity. You may request earlier deletion by emailing us (see Section 10).

7. Security

We use industry-standard administrative, technical, and physical safeguards including encryption at rest (AES-256) and in transit (TLS), role-based access control, audit logging, and continuous monitoring. Our security program is managed through Accountable HQ; documentation is available on request. No system is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your location, you may have the right to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Request deletion of your information.
• Opt out of marketing communications.
• Object to or restrict certain processing.

9. Children

The Services are not directed to children under 13 (or 16 in jurisdictions where that is the applicable age). We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.
